Job description
Position: Senior Executive – Travel & Managed Services
Location: Hadapsar, Pune
Experience: 3–7 Years
Role Purpose
The role is responsible for managing end-to-end corporate travel operations, ensuring seamless travel experiences for employees and international visitors (UK, India, Sri Lanka). The position also supports HR in employee engagement initiatives and manages administrative and vendor-related services.
Key Responsibilities
1. Travel & Managed Services
- Manage all domestic and international travel requirements including flights, hotels, and local transportation.
- Coordinate visa documentation and prepare invitation letters for international travelers.
- Ensure timely processing of travel-related payments, billing, and vendor compliance with zero errors.
- Act as the primary point of contact for travel-related queries, escalations, and emergency support.
- Provide real-time assistance for itinerary changes, cancellations, and disruptions.
- Maintain strong relationships with travel vendors, hotels, and transport providers.
- Monitor travel operations to ensure cost efficiency and compliance with company policies.
- Manage forex arrangements for international travel.
- Review and approve hotel bills within defined timelines.
- Maintain accurate MIS reports and provide analytical insights to HR and Finance teams.
- Ensure adherence to corporate travel risk, safety, and compliance guidelines.
- Stay updated on global travel advisories and regulatory requirements.
- Manage contracts with travel and HR vendors, including renewals and negotiations.
2. Administrative & Facility Management
- Oversee day-to-day staff administrative and facility requirements.
- Coordinate with internal teams and external vendors for smooth office operations.
3. Employee Engagement
- Plan and execute employee engagement initiatives such as:
- Away Days
- CSR activities
- Monthly celebrations
- Cultural and awareness events
- Recognition programs
- Collaborate with HR to design engagement calendars and communication strategies.
- Manage end-to-end event execution including vendor coordination and logistics.
- Collect feedback and continuously improve engagement initiatives.
- Drive a positive, inclusive, and engaging workplace culture.
Stakeholder Management
- Internal: HR Team, Internal Teams, Business Stakeholders
- External: Travel vendors, Hotels, Car rental agencies, Service partners
Key Skills & Competencies
- Strong knowledge of domestic and international travel operations
- Experience in bookings (airlines, hotels, cabs), billing, and MIS reporting
- Vendor management and negotiation skills
- Strong problem-solving and escalation handling ability
- Excellent planning and coordination skills
- Event management and employee engagement expertise
- High attention to detail and compliance orientation
- Proficiency in MS Office

Qualifications
- Graduate (mandatory)
- Preferred: MBA (HR) / PGDBM / Diploma in Business Management
- Travel-related certification (IATA / Travel & Tourism / Hospitality) is an added advantage
Experience Required
- 3–7 years in:
- Corporate travel management
- Travel operations or vendor management
- Experience in international travel coordination and visa processing
- Exposure to employee engagement / HR operations is preferred
